Job Title: Change & Communications Analyst for an SAP transformation
Job Overview: We are seeking a skilled and dynamic individual to serve as the Change & Communications Analyst for our SAP transformation called Rubix. The ideal candidate will be responsible for leading various communication and change management activities for this implementation. This role requires a strategic thinker who can effectively plan, implement, and oversee a range of communication channels and change management processes.
Key Responsibilities:
- Provide advice into and execute on the Change & Comms Strategy:
- Advise the Change & Comms strategy to enhance it
- Work with stakeholders to execute on the strategy, including creating deliverables, a central Resource Hub, adoption plans, role analysis, etc.
- Communications
- Understand the subject matter and independently create planned and ad hoc comms as required.
- Townhalls:
- Plan, organize, and execute monthly Townhall meetings for the entire organization, to ensure effective communication of key messages to employees.
- Collaborate with leadership to develop engaging presentations and facilitate interactive sessions during Townhall meetings.
- Newsletters (monthly:
- Curate and create content for newsletters to increase information, engagement, and adoption of Rubix
- Ensure newsletters are informative, visually appealing, and dynamic in any way needed, to ensure high retention of Rubix material
- Strategic Community & Content Management for the Rubix Hub:
- Manage and curate content for the Rubix Hub, ensuring it serves as a centralized one-stop shop for all things Rubix.
- Foster an interactive online community by encouraging collaboration and knowledge sharing amongst Super Users, Key Users, and End Users.
- Be a strategic community/content manager, identify and action trends and needs of the community and hub
- FAQs and "Did You Knows ":
- Develop and maintain a comprehensive FAQ database on the Rubix Hub, to address common queries and concerns.
- Create engaging "Did You Know " snippets to share interesting and informative facts about Rubix and the change coming.
- Launch and Training Communications:
- Plan, design, and deliver comms plans and comms for training events (x4) and launch
- Surveys, Reports, and Recommendations:
- Design and implement surveys to gather feedback from employees.
- Analyze survey data, prepare reports, and provide recommendations for continuous improvement.
- System Demos:
- Work with Workstream leads to record system demos to showcase new features and updates to end users
- Workarounds for Defects:
- Understand logged defects, work with Training Lead to create workarounds for each
- Manager overall list/number of workarounds by process area
- Launch Week Readiness:
- Collaborate with cross-functional teams to ensure all communication materials and resources are prepared for a successful launch week.
- Create and roll-out materials for end users on what they need to know/do during launch week
- Launch Day Readiness:
- Oversee communication activities on launch day to ensure a smooth and coordinated roll out of Rubix
- Create and roll-out materials for end users on what they need to know/do on Day 1
- People Management:
- Direct one junior resource to support deliverables
- OCM Lead Coverage:
- Provide coverage for the OCM Lead from Feb 1 through March 12. Cover deliverables and reporting.
Qualifications:
- Bachelor's degree in Communications, Marketing, Business, or related field.
- Proven experience in corporate communications and change management.
- Strong project management skills.
- Excellent written and verbal communication skills.
- Ability to work collaboratively with cross-functional teams.
- Familiarity with tools and platforms for communication and collaboration.
- Familiarity with SAP (optional)
